FLSA Status: Non-Exempt, Hourly

Other Specifications: Physical position: required lifting, carrying, pushing, pulling, reaching, squatting, bending, sitting, standing and driving.

Position Summary:
The Ale-8-One Marketing Assistant directly supports Ale-8-One’s Marketing Department. This position is responsible for the oversight of the Ale-8-One Company Donations Program and the Company Store, both the physical location and online fulfillment. This responsibility includes coordinating donations and store inventory, folding wearables, stocking store shelves and physically preparing on-line shipments. This role executes internal employee events and supports the daily transactional needs of the business. This individual will have a friendly, out-going, customer service attitude and directly communicate electronically and over the phone with customers. This position also works the front desk daily as a primary job function covering lunch and breaks and is a back-up for vacations and other needs.

The ideal candidate will have administrative experience and be enthusiastic about a supportive role as the anchor of the Marketing Department. Experience as an office assistant, administrative assistant, sales assistant, small office manager/ support role or project manager would be an ideal background. Experience as a marketing assistant or working in a marketing role would also be valuable.

This position does not sit behind a desk all day, the role requires strong execution on task oriented activity, errands, and fulfilling daily changing needs of the department and company. The ability to be flexible in the daily work, manage and juggle multiple priorities and deliver results for a team is critical to the success of this position.

Essential Functions of the Position:
Marketing Administrative Support
â—¸Support the marketing team in day-to-day and weekly operations and transactional functions including but not limited to:
â—‹        Filing
â—‹        Organization
â—‹        Fielding and returning phone calls
â—‹        General office support
â—‹        Ordering corporate office supplies and copier and postage meter supplies
â—‹        Purchase order creation
â—‹        POS management
â—‹        PowerPoint presentation assistance
â—‹        Boardroom set-up
â—¸Works as the Front Desk Receptionist during breaks and lunches on a daily basis. All day coverage required for vacations and as assigned
â—¸Run errands and perform tasks to fulfill the needs of the Marketing Department and for company events and employee welfare
â—¸Build & fulfill gift baskets for holidays and client/partner meetings
â—¸Assist with the planning & execution of company events. This includes decorating for events and holidays, placing signage and the physical setup of tables, chairs, ice, drinks, etc. for the event
â—¸Perform Company Tours with the public
â—¸Organize & clean the Marketing Department & Company Store as needed to comply with GMP’s
â—¸Prepare packaged shipments for all departments as requested
â—¸Provide administrative support to the leadership team as needed
â—¸Participation in and support of Community Involvement Team and Employee Welfare Committee

Company Store
•Daily fulfillment of all company store orders including in-person, online, product replacement and curbside pickup; processing refunds or addressing damages as needed
•Serve as the point of contact for any questions regarding the company store in-person and online
•Coordinate with suppliers to reorder existing items, inquire about new items and process purchase orders for approval
•Manage company store inventory by stocking the company store, setting up new items, refreshing displays and evaluating items for discontinuation
•Fold & tag apparel items within 14 days of receipt
•Conduct quarterly inventory following the process provided by the Accounting department
•Serve as the point of contact for the online store with EnvyInteractive, communicating new products, product changes or website updates
Donations
â—¸Serve as the point of contact for all email, faxed and mailed requests for donations
â—¸Fulfill donation form for approved requests, establishing an account in RAM as needed and communicating approval to the organizations point of contact
â—¸Track all approved donations using Excel, providing monthly and yearly reports to the Marketing Operations Manager

Event Support
â—¸Assist in coordination, planning and management of external local events with the Market Development Specialist (Beer Cheese Festival, Pioneer Festival & October Court Days). Work these annual events as assigned, which occur on weekends
â—¸Provide recommendations on company store items and quantities for each event using previous event and sales data to support this recommendation
â—¸Manage event inventory. Track inventory items prior to events and back in after accurately balancing to the total event sales
Additional duties as assigned

Key Position Requirements:
•2-3 years administrative assistant, sales assistant, marketing assistant or strong office support experience; store experience may also be applicable
•Positive Behavior and respectful communication; friendly and pleasant with the public and the team
•Proficient in Microsoft Office Suite and computer-based applications
•Excellent communication and listening skills
•Self-driven, capable of mastering tasks and key functions quickly while continually looking for ways to create efficiencies
•Skilled in organization and prioritization, and attention to detail
•Ability to quickly adapt to changing organizational and operational needs
•Ability to effectively handle multiple tasks simultaneously
•Strong team player and collaborator
•Knowledge of Word Press or ability to learn
â—¸Excellent attendance and punctuality is critical to the success of this role
â—¸Must be able to lift and carry at least 58lbs and adequately stand, sit, squat, kneel, bend, twist, push, pull reach and do overhead work as required to execute event assignments
â—¸Must be able to safely operate a motor vehicle, have a reliable means of transportation, and valid driver’s license with a safe driving record in accordance with our insurance company requirements
â—¸Meet Ale-8-One’s Behavior Standard – to maintain a positive work atmosphere by acting and communicating with integrity and in a respectful manner with employees, co-workers, managers, customers, the public, and all business relationships

This is a full-time position with competitive benefit package, including medical, dental, vision, company paid life insurance and company paid long term and short-term disability insurance. Benefits also include 401(k) and Roth 401(k) with a company match and vacation time. This is a non-exempt, hourly position Monday – Friday with a few weekend events annually.
