JOB SUMMARY

Greet visitors, guest, and clients. Answer and direct incoming calls and direct visitors to appropriate party. Act as an information and referral resource for the clients, customers, visitors, employees and vendors of Microsoft. Respond to email inquiries. Manage all conference space reservations (i.e., scheduling, room setup, catering, etc.).


ESSENTIAL DUTIES AND RESPONSIBILITIES

Manage the reception desk. Oversee and monitor reception area. Keep neat and orderly.

Answer incoming calls. Provide general information and direct callers to appropriate party or voice mail box.

Greet visitors, guests and clients, making them feel welcome and comfortable. Answer questions and/or provide information about the building, facilities or amenities. Announce visitors to appropriate party.

Conduct guest registration through badging software. Issues visitor passes and validates parking.

Be proactive and anticipate needs of clients, customers, visitors, employees and vendors.

Establish a strong rapport in client relationships as well as with vendors and contractors and instill trust. Meet all their needs with friendliness, fairness, understanding and empathy. Get to know them and treat them with courtesy and respect.

Expedite emergency calls (when possible) by contacting vendors and building manager, or other appropriate individual(s).

Maintains daily email and phone requests in a timely manner.

Assists with scheduling and preparing conference space. Maintains conference room calendar(s). Places and coordinates all catering orders, obtains approval and reviews invoices.

Performs general clerical duties associated with mail services.

Assist with special events featured in the common areas/lobby as may be necessary.

Dispatch work orders to the landlord or facilities management staff.

Assist with conference room set-up and clean-up as may be required.

Other duties as assigned by manager.


QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

EDUCATION and EXPERIENCE

HS Diploma or GED required. A minimum of 0-1 year Front Desk, Concierge, customer service orother hospitality experience is preferred.



CERTIFICATES and/or LICENSES

None.



COMMUNICATION SKILLS

Ability to comprehend and interpret instructions, short correspondence, and memos and askclarifying questions to ensure understanding. Ability to write routine reports and correspondence.

Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.

Comfortable meeting and engaging with new people.

Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.



FINANCIAL KNOWLEDGE

Ability to calculate simple figures such as percentages.



REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solveproblems in standard situations. Requires basic analytical skills.



OTHER SKILLS and/or ABILITIES

Intermediate skills with Microsoft Office Suite, handheld mobile technologies and applications; .

Good organizational skills. Ability to work flexible work schedules based on office needs. Physicalability to assist. Able to lift 30 lbs. Strong problem-solving skills. Highly adaptable and flexible.

Ability to work independently with little supervision.



SCOPE OF RESPONSIBILITY

Decisions made with general understanding of procedures and company policies to achieve set resultsand deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.



SAFETY

1. Complete at a satisfactory level all required and assigned HSE training

2. Follow all activity policies and procedures, including all HSE related requirements at all times

3. Participate in all HSE related programs & activities as required, including incident investigations,interviews, auditing and assessment, etc.

4. Report any condition which you feel could result in an accident or injury and / or stop work if required


In addition:

1. Be aware of and understand all safe work practices and procedures and potential hazards associated

with the work environment

2. Maintain and wear at all times required appropriate personal protective equipment (PPE)

3. Apply appropriate material handling techniques at all times,

4. Only operate warehouse equipment and machinery (e.g. pallet jacks, manlifts, etc.) if properly trained, qualified and authorized to do so
