Overview
World Wildlife Fund (WWF), one of the world's leading conservation organizations, seeks an Outgoing Agreements Associate Specialist.


Responsibilities
        Administers grant and consultant agreements, including:
o        Drafting agreements, ensuring that pertinent Prime Donor provisions are included, as applicable. Contacting new consultants and grantees to gather documents such as payment details and tax forms.
o        Preparing paperwork and routing agreement for approval, securing signatures and distributing documents to appropriate parties.
o        Processing agreement payments in a timely manner and in accordance with WWF policies and procedures.
o        Monitoring and clearing advances and recording expenses for conditional grants.
o        Monitoring compliance with deliverable requirements, including following up on outstanding submissions.
        In coordination with PA, processing journal entries in Workday throughout the lifecycle of the agreement (e.g., agreement accounting reclasses, obligation adjustments, assistance with year-end accruals for grants, etc.)
        Processing amendments for grants and consultancies, as needed, which includes managing multi-step processes.
        Closing out agreements following WWF policies and procedures and coordinating with Program Administrators and Program staff, accordingly.
        Assists program and/or program administration staff in their role related to issuance of new agreements and with the use of the agreements management system, as needed.
        As requested, reviews, and analyzes recipients' financial deliverables to ensure compliance by sub-recipients with WWF-US and/or Prime Donor reporting requirements. Notifies Program Officers and/or Program Administrators of any problems or discrepancies and provides technical assistance to grantees in resolving problematic issues.
        Maintains information and files pertaining to agreements across multiple systems. Regularly monitors on-going compliance with WWF reporting requirements and individual project deadlines. Ensures all project reports are acknowledged and routed to appropriate individuals for review.
        Ensures all accounting throughout the agreement lifecycle adheres to FASB guidelines.
        Provides support to the management and coordination of day-to-day administrative operations and special projects. Identifies, coordinates and expedites the communication of information and issues both inter-departmentally and intra-departmentally, as well as externally with NGOs, NOs, and field offices, as appropriate.
        Troubleshoot agreement and supplier integration and payment processes issues through the grants management and accounting systems
        Provides quarterly updates on deliverables status, closeouts, etc.
        Performs other duties as assigned.

Qualifications
        A Bachelor's degree and minimum of two years of experience, or minimum four years of relevant experience.
        Working understanding of basic accounting principles (including FASB accounting)
        Familiarity with U.S. Government-funded projects is highly desirable.
        Organizational, quantitative, and analytical skills
        Ability to effectively prioritize and produce high-quality work under time constraints.
        Excellent communication and interpersonal skills.
        Must possess customer service orientation, collaboration, and problem-solving skills, work well independently and on teams with time management skills to meet imposed deadlines.
        Demonstrated ability to use word processing, database, and spreadsheet software packages (Word, Excel, PowerPoint, Access)
