Position Description

This is a fully benefited, full-time Harvard University position that has been funded for two-year through 6/30/25. There is the possibility of renewal, contingent on funding, university priorities and satisfactory job performance.

The Library Technology Services (LTS) team at Harvard University is seeking an experienced and motivated Change Manager to support the implementation of the next-generation Digital Repository Service (DRS) and its integration in the current software ecosystem.

The Change Manager will develop service delivery frameworks and change management plans to help the DRS Modernization ("DRS Futures") project team implement change associated with the roll out of new services that maximize service adoption and minimize end user change fatigue. The role will conduct needs and readiness assessments for all work, ensuring that stakeholder perspectives and needs are acutely accounted for. To support this goal the change manager will create "how to" playbooks on key change management process areas (i.e; end-user training) and templates for managing communications for critical implementation milestones. The Change Management role will ensure that each effort is carefully planned and will help the project team close gaps in process, where they exist. The role will be accountable for ensuring that change processes are adhered to throughout the project life cycle. The role will provide input into and support the design of user outreach and collaterals, ensuring key messages are clearly articulated and shared in terms of business impact, tailoring deliverables based on intended audiences.

Typical Core Duties:
        • Create and update service delivery frameworks and change management plans to help project team implement change associated with the roll out new services that maximizes service adoption and minimizes end user change fatigue.
        • Proactively seek to understand University culture and change adoption practices across customer bases and various needs and workflows. Work with the project team to help them communicate technology change to end users in a clear and holistic way.
        • Reference use cases, user stories and conceptual process models. Define core personas that exist to ensure we truly understand the different facets of our customer base. Leverage personas to build out the experience customers want.
        • Develop, provide input into and support the design of user outreach and collateral, ensuring key messages are clearly articulated and shared in terms of business impact, tailoring deliverables based on intended audiences.
        • Make independent decisions within the confines established by sponsors/business owners and the project manager
        • Provide training to clients and staff
        • Work with technical team to make sure that business and user requirements are well understood as part of the software development lifecycle e.g., requirements review (fulfills user need), turnover, signoff of deliverables.

Basic Qualifications
        • Minimum of five years' post-secondary education or relevant work experience

        • Knowledge and experience in organizational change management, Agile methodologies, end-user training strategy and adult learning best practices
        • Expertise in facilitation of large groups and / or conducting training & working in a research or academic environment preferred
        • Proficiency learning key business processes, creating internal partnerships, fostering collaboration and recommending strategies that fit the culture
        • Fluency in technology concepts
        • Experience working in a research or academic environment preferred
        • Demonstrated team performance skills, service mindset approach, and the ability to act as a trusted advisor and cross-functional project management experience with an emphasis on change management/communications
        • Bachelor's Degree preferred
Certificates and Licenses
        • Completion of Harvard IT Academy Project Management Foundations course (or external equivalent) preferred
        • PMP or other relevant certification and experience preferred, e.g., Scrum Master
Working Conditions
HUIT actively supports hybrid work where business needs allow. All remote work must be performed in a state in which Harvard is registered to do business (CA, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA).

This position can be Onsite, Hybrid, or Primarily remote. Travel to campus may be necessary based on business needs and the nature of work. Examples include bi-annual or quarterly Town Halls, critical business meetings or other work events. Advance notice will be provided.
